Position Summary:

Reporting to the Manager, Client Services, this position is responsible for reception and administrative duties within the National Operations team. Primary administrative responsibilities include forwarding calls and visitors to the appropriate person or location with professionalism and courtesy, managing facility and resource bookings, managing all office supplies, creation of transportation headers, preparing Client invoices for mailing, post and manage all intranet and ECM announcements and maintain all contact listings for both internal and Client use. Additional support activities include assisting with order entry, proof of delivery requests, co-ordinating office equipment maintenance and telephone directory changes. The incumbent will provide the highest level of customer service to internal and external clients and elevate the level of professionalism at the facility.

Key Accountabilities:

  • Perform daily customer service function as per client's needs.

  • Monitor and coordination of shipments including communication with overseas offices, pick up, delivery of goods; freight monitoring, documentation, insurance and accounting.

  • Advise customers regarding air and ground freight export procedures, international regulations.

  • Obtain and produce all pertinent information

  • Organize transport and documentation with carriers.

  • Produce accurate information and documentation on time.

  • Develop business relations and follow up with customers and partners (ex: carriers).

  • Ensure the Company closes all files within the set time frame establish.

  • Participate in improving quality and processes.
