UPS Procurement Senior Support Supervisor in Atlanta, Georgia

The Procurement Senior Support Supervisor supports the Chief Procurement Officer (CPO) to ensure his/her ability to effectively and efficiently perform their organizational responsibilities. He/She assists with managing the CPO’s schedule to support efficient use of his/her time and coordinates all travel and meeting support to ensure meeting participant attendance and content is organized. The Procurement Senior Support Supervisor pro-actively manages correspondence, primarily via emails, to ensure the CPO involvement in business matters requiring his/her attention. He/She composes, edits, and writes internal or external communication as required by the CPO or senior Procurement leadership.

This position works directly with Procurement’s leadership team to coordinate external and/or internal or functional support in executing Procurement initiatives and strategy as directed by the CPO. He/She utilizes relationship building throughout the organization, exercises judgment, discretion and confidentiality, handles complex and difficult situations diplomatically, and represents the Procurement function in a professional manner. The Procurement Senior Support Supervisor manages and supervises the mail room staff and other Procurement administrative assistants as required, as well as ad-hoc projects directed by the CPO.

Responsibilities and Duties

  • Provides executive support to the Chief Procurement Officer

  • Manages requests for CPO meetings (e.g., customers, strategic suppliers, etc.) to determine the level of urgency, importance, and provide appropriate access

  • Supervises mail room and other administrative personnel to ensure activities are performed efficiently and effectively

  • Provides on-going feedback and support to improve employee performance and development

  • Resolves individual and group performance issues in accordance with UPS’s policies and procedures in a timely manner to motivate and foster teamwork

  • Participates in special department projects to meet urgent business needs for the function

  • Compiles and reviews detailed business information to generate reports as required

  • Prepares and edits Procurement Leadership communications (e.g., memos, agendas, letters, presentations, etc.) to ensure accuracy, consistency, and the messages are delivered as intended

  • Maintains confidentiality of sensitive Procurement related information such as but not limited to strategies, initiatives, work product, staffing changes, etc.

  • Provides Procurement leadership support for reporting including analysis of results and requesting report improvements/changes

  • Manages liaisons with internal (e.g., other executives, direct reports, etc.) and external (e.g., suppliers, customers, business contacts, etc.) individuals as well as CPO inquiries to ensure positive relationships are maintained and timely information flow

Knowledge and Skills

  • Advanced skills in Microsoft Word, Excel and PowerPoint

  • Exceptional oral and written communication skills

  • Strong organization skills
