UPS Senior Executive Assistant-Hybrid in Durham, North Carolina

Job Summary

UPS is seeking an experienced and dynamic Senior Executive Assistant to support the Senior VP of Global Healthcare Operations and ensure their ability to effectively/efficiently perform organizational responsibilities. This position coordinates and manages all travel, meetings, calendars, email correspondence, and mail to ensure senior leaders are only involved in necessary business appropriate for their level. The incumbent composes, edits, and writes communications for senior leaders, and works directly with senior leadership staff to coordinate function efforts. This role utilizes relationship building skills throughout the organization at various levels, exercises judgment and discretion, handles complex and difficult situations diplomatically, and represents the senior level leadership in a professional manner. This position participates in special projects (e.g., department projects, etc.) to meet urgent business needs for the function, compiles and reviews detailed business information and generates reports. The incumbent participates in project planning sessions with the staff and department teams to ensure requirements are met for the senior leaders through the direct report team. This role coordinates the collection of required information from senior managers in advance of meetings and as required for other purposes to ensure the senior level leadership receives required/accurate information on time and objectives are achieved.

Responsibilities

  • Liaisons effectively/efficiently with their many organizational responsibilities and across their peer network of executive support staff

  • Composes and edits written communications for senior leaders regarding correspondence internally/externally for the position they hold

  • Manages senior leadership schedules, coordinates all travel to ensure they utilize their time in the most efficient manner

  • Utilizes relationship building throughout the organization, exercises judgment and discretion, handles complex/difficult situations diplomatically, and represents the senior level leadership in a professional manner

  • Manages calendars, correspondence via emails, and mail to ensure senior leaders are only involved in necessary business information appropriate for their level

  • Records meeting minutes/notes and action steps confidentially for department and senior leadership governance meetings

  • Participates in project planning sessions with the staff and department teams to ensure requirements are created for senior leader through the direct report team

  • Completes and submits purchase orders and creates and submits expense reports to ensure receipts reconcile with expense claims, including BGRS

  • Builds and maintains a network of relationships (e.g., Department managers and staff, senior leaderships’ direct reports, HR) to obtain assistance as required and to display a professional senior leadership presence

  • Responds to senior level leadership needs/requests to achieve timely and successful results in daily operation

  • Participates in special projects (e.g., department projects, etc.) to meet urgent business needs for the function

Preferences

  • Possesses analytical skills; solicits and gathers information through in-depth research techniques

  • Displays critical thinking; is detail-oriented, thorough with all tasks and creative problem solver

  • Willing to work flexible hours (e.g., weekends, off hours, etc.)

  • Proficient with administrative systems (Oracle, Amex, PO, SharePoint, etc.)

  • Bachelor’s Degree (or internationally comparable degree) in Business Management, Project Management or related field

  • New Grads are welcomed with 1 - 2 years working experience in compartive positions
