UPS Ocean Customer Service in Hayward, California

UPS Supply Chain Solutions is seeking an Ocean Administrative Assistant who will effect the organization by demonstrating the ability to manage multiple tasks simultaneously in a fast paced environment with minimal supervision and high attention to detail. This position will require a thorough understanding of UPS SCS services and the correlation of the functions as it relates to providing excellent service to the customer. The ideal candidate will have one to three years' customer service and/or administrative experience in the freight forwarding, transportation or brokerage industry.

The Administrative Assitant responsibilities include, but are not limited to:

  • Maintains an ongoing positive relationship with the customer through regular proactive and reactive contact.

  • Proactive customer communication, alerting client of all UPS SCS personnel changes relevant to their account, any deviation of shipment/customs entry from expected plan, progress/success of client specific process improvement

  • Issuing Delivery Orders

  • Issuing Arrival Notices to Broker

  • Resolves customer problems/complaints working across functional groups. These problems will require researching the root cause, and working with groups to develop corrective action plans where trends exist.

  • Responding timely to all customer requests

  • Tracking shipments (proactive and reactive)

  • Standardized reports (performance or otherwise); provides critical updates to the manager

  • Auditing and research inquiries; interfaces with external carriers & vendors to resolve and expedite customer shipments

  • Research and audit operational performance issues

  • Rating and or billing discrepancies

  • Customer set up, update customer files and profiles

MINIMUM REQUIREMENTS:

  • High school diploma or equivalent certificate is required

  • 1-3 years customer service and/or administrative experience

  • 1-3 years of operations experience in one or more of the following areas: Freight Forwarding, Ocean Freight Import, Transportation, or Brokerage is preferred.

  • Requires proven problem solving an analytical skills

  • Effective written and verbal communication skills

  • Proficient use of Microsoft Outlook, Excel and PowerPoint applications

  • Proficient use of Microsoft Access is beneficial, though not required

  • A thorough understanding of ocean operations, methods, and procedures is a plus.
