Job Title: BD Senior Administrative Assistant

Department: Hazardous Materials Support Center – World Freight Facility. WFF Mezzanine

Days: Monday - Friday Hours: 9:00am - 5:30pm

Job Description:

The BD Senior Admin works in an office environment located in the West Mezzanine of the Worldport Freight Facility. This office facility currently supports approximately 46 administrative, 4 business professional, and 16 management employees in the Hazardous Materials Support Center (HMSC).

The Hazmat Associate (HMA) supports U.S. districts by contacting customers to inform them of hazardous materials violations and issues with distressed/held shipments. They are responsible for the coordination and communication that is conducted with the customer and the districts regarding distressed/held shipments, hazmat compliance issues, undeclared packages, and hazmat contracts. The HMA must have a comprehensive knowledge of the 49 CFR, ICAO/IATA, UPS hazmat procedures, and Carrier Variations.

He/She receives hazmat violations from U.S. districts. They validate and log the violations and contact the customer (and UPS BD) to inform them of the issue(s). They assist with determining the applicable corrective measures and coordinate a resolution for distressed packages. The HMA must monitor the number of violations received by the customer and notify Corporate Compliance & Ethics of excessive violations and violations that pose a high safety risk. They coordinate the suspension/cancellations of a customer’s hazmat or pickup service due to issues of non-compliance. They assist the customers with their hazmat contract set-up. They also manage the undeclared process regarding the required customer and BD follow-up.

Required Skills:

  • Customer service skills/experience.

  • Good written and verbal communication skills.

  • Knowledge of Microsoft Office and proficient with office equipment such as computer, fax, scanner, copier, etc.

Preferred Skills:

  • Dangerous Goods Acceptance Auditor or other Dangerous Goods function specific training.

  • Knowledge of UPS operations and systems such as HMMS, iGATE, BIA, eTT and CRIS.

Interpersonal Skills:

Must be flexible, receptive to change, and show a willingness to help the customer. Must be able to work independently with little or no supervision and in a team environment. Should be able to work under pressure with confidence.
