UPS FTZ Operations Assistant -Zone in Louisville, Kentucky

The Foreign Trade Zone (FTZ) Operations Assistant is a Document Control & Audit Specialist responsible for ensuring that all import shipment documentation required for correct and accurate reporting of FTZ admissions to CBP are received, validated, audited and available in a timely manner. The ideal candidate for FTZ Operations Assistant will have two or more years’ experience in a fast-paced office environment. He/She will have strong analytical, oral/written communication, problem solving, basic research, attention to detail and time management skills.

Responsibilities and Duties

  • Executes a comprehensive examination of various documents including commercial invoices, international bills of lading, and shipping documents to ensure completeness and accuracy

  • Researches and corrects errors resulting from incorrect pre-advise information

  • Reviews and validates invoice valuation to verify accuracy prior to submission to CBP

  • Researches to ensures all shipping documents are received and accounted for in a timely manner

  • Compiles and saves shipping documents (paper or electronic) to comply with government regulations

  • Ensures data entry, file maintenance and storage, and document reproduction and distribution meet company standards via the appropriate check lists and approvals

  • Receives and appropriately creates pre-advise data files

  • Identifies audit issues and causes and recommends how to correct

  • Prepares complex reports/presentations

  • Performs analysis using various software packages and databases, e.g. MS Access

  • Determines methods and procedures for completing complex tasks

  • Provides advanced office support knowledge and skills

  • Prepares and/or coordinates information for internal and external contacts

  • Performs various other task as assigned by supervisor and or manager.

  • Assists with coverage in other departments, during fluctuations in volume, vacation coverage or leave of absence coverage and as required by their management team

Knowledge and Skills

  • Excellent organizational skills handling files and information

  • Ability to prioritize, organize and complete tasks in accordance with established deadlines

  • Detail oriented with demonstrated critical thinking ability

  • Strong verbal, written communication and interpersonal skills

  • Team oriented with sense of urgency

  • A.A./A.S. in Mathematics, Accounting, Transportation, Logistics, or related business field - Preferred

  • Extensive understanding of commercial invoices, packing lists, house bill of ladings, master bill of ladings and all related international shipping documents - Preferred

  • 10 key typing speed of 12,000 per hour - Preferred

  • Typing speed of 60 wpm - Preferred
