UPS GTW PM Air Admin Assistant III in Miami, Florida
UPS is seeking an Administrative Assistant to work with gateway supervisors in a fast-paced, high-pressure, and constantly changing environment. The ideal candidate will adapt well to change, make decisions that impact the operation hours in advance, and perform multiple tasks simultaneously. He/She will complete FAA Certified training for all UPS aircraft and submit to random drug and alcohol testing. The Administrative Assistant will also support outside workstation for DWB occasionally.
Responsibilities and Duties
Bends, stoops/squats, crouches/kneels, climbs stairs and walks intermittently throughout the workday
Performs office tasks using simple hand grasping, fine hand manipulation and reach associated with assigned tasks such as paperwork, computer keyboarding, filing, calculating and use of telephone
Sees, hears and speaks with sufficient capability to perform assigned tasks and maintain proper job safety conditions
Demonstrates cognitive ability to: follow directions and routines, work independently with appropriate judgment, exhibit spatial awareness, read words and numbers, concentrate, memorize, and recall, identify logical connections and determine sequence of response, process up to 2-3 steps ahead
Coordinates all inbound and outbound aircraft activity
Communicates with all internal and external departments such as aircraft maintenance, cargo, hub, flight control, agriculture, customs, and various vendors
Assists supervisors with any contingencies and communicates details to affected departments
Communicates between SDF, other centers, and America's Region countries
Compiles and audits all Daily, Weekly, Monthly reports
Audits vendor invoices
Performs other functions that may be assigned
Reports to work on a regular and timely basis
Works extended hours as service needs dictate
Available to work holidays and weekends and has flexible schedule
Works cooperatively in a diverse work environment
Knowledge and Skills
Proficient in Microsoft Suite applications
Able to type 45 wpm
Able to communicate in English and Spanish
Good verbal and written communication and organizational skills
Good analytical skills
High School Diploma
College/Technical Degree or equivalent - Preferred
