UPS Marketing Sr. Administrative Associate in San Diego, California

Job Summary

The Marketing Senior Administrative Assistant performs general administrative responsibilities including preparation of reports using various software packages, compilation of information from various sources, and handling small scale projects. The incumbent performs general office duties that may include word processing, data entry, auditing documents, answering phones, distributing mail, reserving conference rooms, coordinating meetings and other duties as assigned. This position may deal with confidential material on a regular basis.


  • Takes initiative on projects (e.g. store remodel, record retention) and proactively communicates with internal and external contacts

  • Handles all franchisee support for the Marketing Advisory Council, including all monthly calls and quarterly meetings, bylaws, annual elections, minutes, votes, scheduling, agendas, travel and hotel

  • Supports all logistics for the annual Co-op Leadership Forum with over 100 attendees

  • Handles incoming telephone calls for VP, including screening calls to forward to appropriate internal contact, taking messages, or fielding questions

  • Orders office supplies for department and maintains department neat, organized and professional

  • Distributes mail to appropriate staff

  • Maintains paper and electronic files as needed

  • Prepares check requests and follows through on status

  • Maintains department attendance reports, including verifying for accuracy and handles employee team meetings

  • Suggests ways to improve processes and be more efficient


  • Demonstrates strong organizational and multitasking skills and ability to work in a fast paced environment

  • Possesses knowledge of using basic office equipment and ability to type 50 wpm on a computer keyboard

  • Demonstrates ability to shift priorities, accommodate changing volume demands, work independently and resolve problems inherent in the job

  • Follows instructions and carries out assignments with little or no supervision

  • Displays professional demeanor and is a self-starter who strives for continuous improvements in processes and procedures

  • Minimum of 3 years of administrative experience

  • Experience in supporting executive level

  • Possesses strong working knowledge of Microsoft Office (PowerPoint and Excel)
