UPS Human Resources Senior Officer (Onboarding/Offboarding) 12 months contract in Singapore

We are looking for Senior Officer to join our Human Resource Team. The key responsibilities focus on Onboarding/Offboarding to help new hires assimilate into the new work environment and facilitate the separation process.

Job Responsibilities


  • Communicate with Hiring Manager the New Hire start date and pre-confirmation package

  • Guide new hires to complete pre-employment requirements prior to onboarding

  • Prepare the letter of appointment for New Hire, gather supporting paperwork, perform data entry on the HR system for New Hires and generate an Employee ID prior to onboarding

  • Work Pass application – Work permit, S Pass and Employment pass for New Hire

  • Coordinate with company appointed medical service provider for pre-employment medical check-up report

  • Engage with other departments to facilitate onboarding including but not limited to preparing staff badge, access card, car parking in Alps/UPS House, submit request for system access (APRS), airport pass etc.

  • Prepare and email New Hire welcome kit which includes guidelines to hiring manager and new hire

  • Welcome New Hire upon their arrival (face to face/virtual)

  • Validate New Employee data form, fill up the necessary fields submit to Supervisor for approval as per the payroll cut off day

  • Address new hires’ queries regarding their letter of appointment or questions

  • Validate the background check form for new hires who are required to work in Designated Security Area (DSA)

  • Perform data entry for a specific group of new hire in the payroll system


  • Generate acceptance of resignation letter

  • Craft and send emails with direction and information on the offboarding information to the immediate manager and employee

  • Conduct the exit interview for non-management and provide guidance on the overall exit process

  • Address question relating to employee’s final salary

  • Responsible to ensure compliance within off boarding process in accordance to company’s policy and guidelines

  • Prepare final salary, check the leave balance for employees, retrieve the reports from TMS system and submit to Supervisor for validation

  • Monthly reports on new hire/ resignee to payroll team

  • Inform payroll team to hold salary for non-locals (For income Tax clearance purpose)

  • Ensure proper escalation, and effective resolution of more complex inquiries to the Supervisor

  • Update employee records and employment status in HR systems

  • Perform additional HR tasks and/or special projects, as assigned

Job Requirements

  • Possess a degree in Business Administration, Human Resources or Marketing

  • Minimum 1 years of Human Resource Operations specifically onboarding/offboarding

  • Customer service oriented with demonstrated ability to effectively communicate with team members and employees of all level

  • Ability to handle sensitive and confidential information

  • This 12 months contract may have the possibility for an extension/renewal

  • Willing to work in Alps and Changi South (Company transport provided at designated pick up points)
